Email Information

 
Oklahoma State University has a new email system! The new email system is Microsoft Exchange/Outlook, and is available by accessing Outlook Web Access (OWA) from any web browser at http://mail.okstate.edu. If you're a returning student, the old email system is still available for a limited time. For answers to your email questions, click on one of the links below:

Q: How do I get to my new email?
A: You have the option of accessing your new email from any web browser by accessing Outlook Web Access (OWA) at http://mail.okstate.edu, or setting up Microsoft Outlook on your computer to access your new email. Instructions for setting up the Outlook client on your machine are listed below:

Q: How do I login to my new email account?
A: Login to your new email account using your new email address and password. If you forget your password, you can change it from the O-Key website (http://okey.okstate.edu) by clicking on the link entitled "Forgot your password? Locked out?"
 
Q: Can I access my new email from any web browser?
A: Yes! Simply login to Outlook Web Access (OWA) at http://mail.okstate.edu and enter your new O-Key email address and password.
 
Q: How do I setup Microsoft Outlook on my computer to access my new email?
A: There are several different methods you can use to setup Microsoft Outlook on your personal computer to access your new email. Click on one of the links below for detailed instructions:

Q: Can I forward my OSU email to my preferred email account (ex: Lotus Notes, Yahoo!, Hotmail)?
A: Yes! To forward your OSU email to another email address, follow these steps:
  • Please note that if you have an existing O-Key mailbox, the entire mailbox and all messages within it will be deleted after you set a forwarding address. Please ensure that you have saved any messages that you wish to keep BEFORE you forward your email in your O-Key.
  • When you see your Personal Profile page, click on the Forwarding Option link (located on the Main Menu on the left side of the screen).
  • Enter your preferred email address in the fields shown on the page, and click the Save button. If you want to forward your email to another email system on the OSU campus, you will need to enter the FULL email address, such as ppete@notes.okstate.edu or jdoe@math.okstate.edu.
  • Enter your preferred email address in the fields shown on the page. Accounts such as Yahoo or Hotmail, simply enter hotmailname@hotmail.com or yahooname@yahoo.com. Click the Save button.
 
Q: Where are messages sent to my old email address going?
A:All new messages sent to your old OSU student email are automatically being forwarded to your new O-Key email address.
Employees: Inbound email to your existing email account is not automatically being forwarded to your Exchange account unless your department has been migrated by the IT Department.

Outlook Configuration

  Outlook Profile Configuration (for computers connected to the OSU network)
(These instructions assume that no mail profiles have been previously setup and that the user has access to the LAN.)
  • Click on the Windows "Start" button, open the "Control Panel", and double-click the "Mail" icon.
  • Click "Add".
  • This will bring up the "New Profile" Dialog box where you will enter your first and last name to set up a profile which will allow you to add a new e-mail account. This profile name will not affect your username. In the "New Profile" Dialog box enter your profile name and click "OK".
  • Choose "Add a new e-mail account". This will allow you to add your Outlook email account to your PC.
  • Choose Microsoft Exchange Server. The Microsoft Exchange Server has replaced the old Lotus Notes environment.
  • Enter the name of the Microsoft Exchange Server and your username. The Microsoft Exchange Server that you should enter here is ad.okstate.edu . Both Students and Faculty/Staff members should have already determined their username by performing the Orange Key registration. Leave "Use Cached Exchange Mode" enabled (Outlook 2003 only).
  • Click on the "Check Name" button. When you click the "Check Name" button this will automatically change the Microsoft Exchange Server to the server where your mail will be located. DO NOT attempt to change this information back to ad.okstate.edu .
  • Enter username and password. Type your username and Password exactly as it appeared in the Orange Key registration. For the domain field, type in "Exchange".
  • If the username is accepted, click "Next >", and on the last screen click "Finish" to complete your installation. If the username is not accepted, please verify that you entered the username and password exactly as it appeared in the Orange Key registration. If the username is still not accepted contact the OSU Help Desk at 405-744-HELP(4357).
  • You have completed the steps required to configure your user information. Now you should double-check the properties of the new profile. Check properties of the new profile by clicking on the Windows "Start" button, open the control panel, and double-click the "Mail" icon. When the "Mail" window opens, select the profile so it is highlighted in blue and click the "Properties" button.
  • Click "E-mail Accounts".
  • Select "View or change existing e-mail accounts" and then click "Next".
  • Enter password if prompted.
  • Verify that the "Deliver new email to the following location" box is set to " Mailbox - (username)". Click "Finish".
